Customising your email templates

When you send an invoice, quotation or credit note, you want the accompanying email to look professional and contain the correct information. In Teamleader One, you can personalise these emails using email templates.

 

 

 

Where can I find the email templates?

Within Teamleader One, go to Settings and click on Email templates. Here you will see an overview of the different document types for which you can set a default email.

 

Customising available templates

You can set an email template for three types of documents:

  • Default email for sending invoices

  • Default email for sending credit notes

  • Default email for sending quotations

 

For each template, you can customise the text in Dutch, English and French. Teamleader One automatically selects the correct language based on your contact's language settings.

 

In addition, you can personalise two things per email:

  1. Subject: The title of the email as the customer sees it in their inbox.

  2. Body: The actual content of the message.

 

Working with variables

To make your emails personal without having to manually fill in data each time, you use variables. These are codes between double curly braces, such as {{ CUSTOMER_NAME }}, which are automatically replaced by the data from your invoice or quotation as soon as you compose the email.

 

On the right side of the screen, you will find the Variables. Simply click on a variable in the list to insert it directly into your text or subject.

What if I don’t make any changes?
Don’t worry, Teamleader One already provides professional default texts for you. If you do not make any changes yourself, we will use our texts.

 

Check your variables
Make sure you always copy variables exactly as they appear in the list. If you delete or change a letter, the system will no longer be able to fill in the data automatically.
