Changing and deleting invoice numbers

Invoice numbers are important for your accountant, as the synchronisation with accounting software is based on these numbers. By law, invoice numbers must be sequential, so you can't just change them, except at the beginning of each new fiscal year. At Teamleader One, we have come up with a solution for this if you do need to change them.

Please note that setting up fiscal years is currently not possible in Teamleader One. Although the fiscal year doesn't align with the calendar year for everyone, we are working on making this feature available before 2025. This way, you will be able to adjust the numbering at the start of a new fiscal year if needed.

 

 

Removing the invoice number from the most recent invoice

Do you want to remove an invoice number? It's a good idea to consult your accountant before making changes to finalised invoices, especially if they have already been sent to customers or the accountant. Your accountant will likely suggest creating a credit note.

 

You can remove an invoice number by reopening the invoice. To do so, click on this option:

When you reopen an invoice, the number is released as if the invoice had not been finalised. You can leave the reopened invoice as a draft or delete it. The next invoice you finalise will receive the released number, ensuring that no numbers are skipped.

 

If the invoice has already been sent to the accountant, please inform them about the removal so that the numbers in their system match your invoices.

 

 

Removing the invoice number from an older invoice

You can only reopen the most recent finalised invoice. If you want to adjust the number of an older invoice, it's possible, but it requires reopening all previous invoices starting from that invoice. When you reach the number you want to remove, you can leave that invoice as a draft. The other reopened invoices will need to be finalised again. The next invoice you process will receive the released number, ensuring that no numbers are skipped.
